What this sheet is for

Stop returns going straight back on the shelf unchecked, and keep the customer's story and the bench's findings side by side.

Who it is for

Returns benches, small online retailers, parts counters and any stores that takes goods back from customers or branches.

How to use it

  1. Write the bench, date and inspector at the top.
  2. Give each returned item a row with its return reference and the original order or customer.
  3. Copy the reason the customer gave, then write what you actually found.
  4. Decide the outcome — restock, repair, back to supplier, scrap — and initial it.
  5. Pass the sheet to whoever handles the refund or credit.

What is on the sheet

One page, top to bottom:

Printed under the title: Goods coming back through the door — what the customer said was wrong, what the bench actually found, and where each item went afterwards — recorded before it is mixed back into stock.

Reason given, condition found. Write what you see, not what the returns note says. The two columns side by side are the point of the sheet: a return described as faulty that inspects as unused and a return described as unwanted that arrives broken both need a different answer. The terms of any refund are your business's, not this sheet's.

Questions

Does this sheet decide whether the customer gets a refund?

No. What a customer is owed depends on your own terms and the rules where you are. The sheet records what came back and what state it was in, which is the evidence that decision needs.
