What this sheet is for

Turn a walk down an aisle into a record a stock adjustment can be made from, with the count, the recount and the sign-off all on the same page.

Who it is for

Warehouse and stores staff running rolling or cycle counts, and the supervisor who posts the adjustments afterwards.

How to use it

  1. Fill in the date, the area or bay range and the name or version of the count policy you are counting under.
  2. Note whether stock movements were stopped or the system frozen while you counted.
  3. Count blind: write the counted quantity before the system figure is filled in.
  4. Work out the variance and tick Recount where your policy says a second count is needed.
  5. Counter and checker sign; whoever posts the adjustments signs and dates the last box.

What is on the sheet

One page, top to bottom:

Printed under the title: One counting round of one area, bay range or product group: the location, what the system says is there, what was actually found, the variance and whether it was recounted — the paper a stock adjustment is made from.

Counted to your policy. No count frequency or tolerance is printed here. Which locations get counted, how often, and how big a variance triggers a recount or an investigation are set by your own count policy — write the policy's name or version in the box so the sheet can be read against it later.

Write-on lines: Count date · Area / aisle / bay range · Count policy / version · Count ref · Counted by · Checked by · System frozen / stock moves stopped

Count — count blind — fill Counted before looking at the System figure

Table, 9 rows: Location · SKU / part no. · Description · UoM · Counted · System · Var. · Recount · Adj?

Signature strip: Counter · Checker · Adjustments posted by / date

Questions

Why is there no tolerance figure for when to recount?

Because the tolerance is your count policy's, and it is usually different for high-value lines, fast movers and bulk. The sheet asks you to name the policy at the top so the recount ticks can be read against it.

How is this different from the stock take sheet?

A stock take counts everything at once, usually with the building shut. A cycle count takes one area at a time on an ordinary working day, so this sheet has room for the system figure, the variance and the recount that a full stock take does not need on every line.
