What this sheet is for

Have the count, the seal and the damage on one signed page before the container leaves the yard, so a shortage claim rests on something written on the day.

Who it is for

Goods-in teams, devan crews and stores staff unloading shipping containers or sealed trailers.

How to use it

  1. Compare the seal number on the paperwork with the seal on the doors before it is cut, and write both down.
  2. Note how the load was stowed and take photos of the seal and the open doors.
  3. Count each line against the packing list and write the difference as plus or minus.
  4. Describe any damage in plain words and record where each pallet or lot was put.
  5. Both the counter and the checker sign before the container is released.

What is on the sheet

One page, top to bottom:

Printed under the title: One container or trailer unloaded and counted out: the seal as found, each line against the packing list, the difference, the condition, and where every pallet was put — signed by the person who counted and the person who checked.

Write-on lines: Container / trailer no. · Seal no. on paperwork · Seal no. as found · Seal intact · Haulier · Vehicle reg · Booking / PO ref · Date · Bay / door · Started · Finished · Loaded how (loose, palletised, mixed) · Photos taken of seal and load

Count against the packing list — one row per line; write the difference as + or −

Table, 11 rows: Line · Product / SKU · Description · Listed · Counted · Diff. · Condition / damage · Put to

Signature strip: Counted by · Checked by · Date

Questions

What if the seal number does not match the paperwork?

Write both numbers down, photograph the seal before cutting it, and follow your own site's rule on who to tell before you open the doors. The sheet has both boxes so that the mismatch is on record whatever you then decide.

Why count against the packing list and not the purchase order?

Because the packing list is what the shipper says they loaded, and a container count is a test of that claim. The purchase order comparison comes afterwards, on the goods-in record.
