What this sheet is for

See at a glance which bay is free, who is late and which haulier keeps overrunning, from one sheet on the goods-in desk instead of a radio call.

Who it is for

Goods-in and despatch supervisors, gatehouse staff and anyone running a small depot's bays from a clipboard rather than a booking system.

How to use it

  1. Write the site, date, shift and the bays in use at the top.
  2. Enter each booked vehicle in slot order with its bay, haulier and whether it is a delivery or a collection.
  3. Fill in the actual arrival time and the time the bay was clear as each one happens.
  4. Note anything that upset the plan — late, turned away, waited for a bay — so the same haulier can be spoken to.
  5. Keep the day's sheet with the delivery and collection paperwork.

What is on the sheet

One page, top to bottom:

Printed under the title: One day at the loading bays — which vehicle is booked into which bay and when, when it actually arrived, and when the bay was clear again for the next one.

Booked time against real time. Slot lengths and turnaround times are yours to set: this sheet has no target printed on it. Write the booked time as agreed with the haulier, then the real arrival and the real clear time, and the gap between them tells its own story.

Write-on lines: Site / depot · Date · Shift · Bays in use

Bay bookings — one row per vehicle, in slot order — D = delivery, C = collection

Table, 12 rows: Slot · Bay · Haulier / carrier · Vehicle reg · D / C · Arrived · Bay clear · Pallets · Notes

Questions

Why is there no slot length or turnaround time printed?

Because a slot at a parcel hub is not a slot at a builders' merchant. How long a vehicle gets, and how long a bay may sit occupied, is set by your site and your hauliers. The sheet records booked against actual, and the difference is yours to judge against your own figure.

What if a vehicle turns up with no booking?

Give it a row anyway, write the arrival time in the slot column and mark it as unbooked in the notes. Unbooked arrivals are exactly the pattern this sheet is meant to make visible.
