Unit Condition and Clear-Out Record

Storage unit condition sheet — the state of a unit on the day it is emptied, anything left behind, the work needed and when it was ready to let again.

First page of the Unit Condition and Clear-Out Record — Settle what a unit looked like when a customer left, and what became of anything they left in it, on one signed page instead of a string of texts.

What this sheet is for

Settle what a unit looked like when a customer left, and what became of anything they left in it, on one signed page instead of a string of texts.

Who it is for

Storage operators, container yards and landlords of lock-ups handling the end of a let — especially one where the customer has stopped answering.

How to use it

  1. Fill in the unit, the customer and the date it was emptied, and note whether the customer was there.
  2. Go round the unit part by part — floor, walls, door, lock, light — and describe each as found, with a photo reference.
  3. List everything left behind, however small, and record what was done with it and when.
  4. Note the cleaning and repairs needed, tick them off as they are done, and write the date the unit was ready to relet.
  5. Have the customer sign if they are present; if not, the inspector signs alone.

What is on the sheet

One page, top to bottom:

Printed under the title: A unit on the day it is emptied — what state the walls, floor, door and lock were in, anything left behind and what was done with it, the cleaning needed and the date it was ready to let again.

What was found, not what is owed. Record what was found, plainly, and what happened to it. Whether goods left behind may be kept, sold or disposed of, or damage charged for, is for your agreement and the rules where you trade — not this sheet.

Write-on lines: Unit no. · Site · Customer leaving · Date vacated · Customer present?

Table, 5 rows: Part of unit · As found · Damage? · Photo ref. · Work needed · Done

Left behind — anything at all — including rubbish, packaging and the lock

Table, 4 rows: Item · Qty · Condition · What was done with it · Date · By

Signature strip: Cleaned and repaired on · Ready to relet from · Inspected by (signature) · Customer signature, if present

Questions

Can I use this to decide what to do with goods left behind?

No. It records what was found and what you did with it. Whether goods may be kept, sold or disposed of, and after how long, is a matter for your agreement and the rules where you trade — the sheet deliberately does not say.

Why is there no charge column for damage?

Because whether damage can be charged for, and at what rate, is set by your own agreement, not by a sheet. Record the damage plainly and photograph it; what follows is between you and the customer.
