Storage Unit Register

A free printable storage unit register sheet — every unit on a site: location, size, door and lock type, power, status, condition and when last looked inside.

First page of the Storage Unit Register — Keep the units themselves on record, so a damp corner, a sticking door or a unit out of use is written against its number rather than remembered.

What this sheet is for

Keep the units themselves on record, so a damp corner, a sticking door or a unit out of use is written against its number rather than remembered.

Who it is for

Storage site managers and owners of a block of lock-ups or containers who need the fabric of the units on one page, separate from who is renting them.

How to use it

  1. List every unit in number order, including the ones out of use.
  2. Describe each as it is built: floor or row, size, door type, lock fitting, and whether it has power or a light.
  3. Write defects in the condition column as they are found, and the date someone last looked inside.
  4. Fill in the counts at the top whenever the register is brought up to date.
  5. Rewrite the sheet when it is too crossed out to trust.

What is on the sheet

One page, top to bottom:

Printed under the title: Every unit on the site as a physical thing — where it is, its size, door and lock type, power and light, what condition it is in and when someone last looked inside — one row each, let or not.

The units, not the lettings. This is the register of the units themselves, not of the customers in them. Who holds a unit and what they pay belongs on the space register and the customer's own account; this page is where a sticking door, a dead light or a unit taken out of use gets written down against the unit number so it is not forgotten.

Questions

How is this different from the site's occupancy register?

An occupancy register is about customers: who has a unit, from when, and what they pay. This one is about the units: their size, door, lock and condition. A unit stays on this sheet through every customer it has.

Why is there no inspection interval on it?

Because how often you look inside an empty or let unit is your own site's decision, and for a let unit it depends on your agreement with the customer. The column records the date it happened, not when it is due.
