What this sheet is for

Start every let the same way, with the unit shown empty, the access explained and the lock number written down before the first box goes in.

Who it is for

Self storage sites, container yards and anyone letting a lock-up who wants a one-page record of the handover to sit on top of the signed agreement.

How to use it

  1. Take the customer's contact details and note what identification was seen — your own site practice decides what to ask for.
  2. Copy the unit, dates, fee and notice terms from the signed agreement into the boxes; do not fill them from memory.
  3. Walk the customer to the unit and tick each item in the door section as it is actually done.
  4. Write in the lock or key number and access reference issued, and any existing marks pointed out.
  5. Both sign, and the sheet is filed with the agreement.

What is on the sheet

One page, top to bottom:

Printed under the title: The first day of a let on one page — who the customer is and how to reach them, the unit and what was agreed, what was shown and issued at the door, and both signatures before the first box goes in.

The handover, not the agreement. This is the record that a handover happened and what it covered. The terms — fee, notice, what may be stored, what happens on arrears — are in the agreement the customer signs; copy the boxes below from that, not from memory.

The unit and what was agreed — copied from the signed agreement

Write-on lines: Unit no. · Size / type · Let from · Minimum term (yours) · Notice (yours) · Fee (yours) · Billed how often · Deposit taken, if any · First payment · Agreement ref.

  • Access explained — code reference, fob or key, your site's hours, trolleys and lifts
  • What may not be stored, per your agreement, gone through with the customer
  • Where to find staff, and who to call out of hours, given in writing

Write-on lines: Lock / key no. issued · Access code ref. / fob no. · Existing marks noted

Questions

Is this the storage agreement?

No. It is the record that a handover happened and what it covered. The terms — fee, notice, what may be stored, what happens on arrears — live in the agreement the customer signs, and this page only copies the few figures it needs from there.

Why does the sheet not say what identification to ask for?

Because that is your site's own practice and may be shaped by the rules where you trade. The boxes record what was seen and by whom; they do not set a standard.
