What this sheet is for

Bring the whole day back to the office on one page, so invoicing, fuel and cash reconcile without a phone call to the driver.

Who it is for

Man and van operators, small removal firms with one or two vans, and anyone driving delivery and collection jobs for a day rate.

How to use it

  1. Write in the driver, van and odometer before leaving the yard.
  2. Add each job as it is done, with the time you arrived and the time you left.
  3. Record the amount agreed and how it was paid — cash, card or invoice.
  4. Fill in fuel, tolls and any damage or incident at the end of the day.
  5. Hand the sheet in with the cash it lists.

What is on the sheet

One page, top to bottom:

Printed under the title: One driver, one van, one day — every job in order with the addresses, the times on site, the odometer and how it was paid, on a single sheet that comes back to the office at night.

Filled in on the road. Fill it in as the day goes, not at the end of it. The amount column is whatever was agreed for that job; the sheet does not set a rate, a minimum or a mileage charge — those are between you and the customer.

Write-on lines: Driver · Van / registration · Date · Odometer start · Odometer end

Questions

Why does the sheet not work out a mileage or hourly charge?

Because your rate is yours. The amount column is whatever was agreed for that job; the sheet gives you the times and odometer readings to check it against, and leaves the arithmetic to your own price list.
