What this sheet is for

Answer the two questions that matter when a key goes missing or a customer leaves: who has access to that unit, and when was it last changed.

Who it is for

Self-storage sites, container yards and lock-up landlords who issue padlocks, keys or gate codes to customers.

How to use it

  1. List every unit and gate once, with its lock type and key or code reference.
  2. Record who holds the key and who holds the spare.
  3. Log every hand-over, loss and code reset in the movements table with a date.
  4. Change the lock or code when a customer leaves, and log that too.
  5. Keep the sheet where only staff can read it.

What is on the sheet

One page, top to bottom:

Printed under the title: Which padlock, key or gate code belongs to which unit and who holds it, with a line for every change of hands — so a lost key or a customer who has left can be dealt with rather than wondered about.

Staff only. Keep this sheet where only staff see it, and write codes as your own site practice allows — a reference to the code, not the code itself, is often the better choice. When a customer leaves, the lock or code is changed and that change is logged here.

Questions

Should the actual code be written on the sheet?

That is your site's call. Many operators write a reference to the code rather than the code itself, so the sheet is useless to anyone who should not have it. The column is labelled as a reference for that reason.

How is this different from the Key Control Register?

That one is a general key cabinet log. This is built around storage units: it pairs each unit with its lock, its holder and its spare, and expects customers to hold keys as well as staff.
