A free printable merch sales sheet for a band — stock counted in and out per item and size, comps noted, then a cash-up so the takings and the boxes agree.

What this sheet is for

Know exactly what sold and what the tin should hold at the end of the night, and see which sizes to reorder before the next run.

Who it is for

Bands, solo acts, tour managers and whoever is behind the merch table at a gig, festival or market.

How to use it

  1. Write the float in and any agreed venue cut at the top before doors.
  2. Count every item and size in and write the price you are charging beside it.
  3. Note anything given away — guest list, the band, promo — so it does not look like theft at the count-out.
  4. Count out after the last sale and work the sold figure from the three counts.
  5. Cash up, subtract the float and any venue cut, and have someone else check it.

What is on the sheet

One page, top to bottom:

Printed under the title: The merch table for one show — counted in before doors, counted out after the last sale, with the float, the takings and anything given away, so the money and the boxes agree. Prices are whatever you charge and the venue's cut is whatever was agreed; both are blanks.

Write-on lines: Band / act · Venue · Date · Seller · Float in · Card reader / account · Venue cut (if agreed) · Stock stored where

Stock — one row per item and size

Table, 10 rows: Item · Size / variant · Price · In · Comped / given · Out · Sold · Takings

Cash-up

Write-on lines: Cash counted · Card total · Less float · Less venue cut · Net to band · Counted by · Checked by · Discrepancy / notes

Questions

Why no prices or venue percentage printed on it?

Because prices are yours and a venue's cut, where there is one, is whatever was agreed for that night — there is no standard figure. Both are blanks to fill in before you start selling.

What if we sell at several shows on one run?

Use one sheet per show, and carry the count-out from one night as the count-in for the next. The comped column is what keeps the running total honest over a tour.
