Take a month of attendance on one page, using whatever marking key your school or club already uses.
Teachers, tutors, clubs, scouts and guides, community classes, training providers and anyone who has to know who turned up.
The layout is fixed at a size that fits both A4 and US Letter, so the A4 and Letter files are visually identical and print at full size on either. Rows are set at a height that an adult can actually write a date and a few words into with a pen — most printable tables are built in a word processor and never tested with one.

Publish a volunteer rota far enough ahead that people can swap, with the swap recorded on the sheet.
Record contact with home factually, so what was said and agreed is on paper rather than in two different memories.
