What this sheet is for

Publish a volunteer rota far enough ahead that people can swap, with the swap recorded on the sheet.

Who it is for

Churches, village halls, sports clubs, scout groups, community cafés and any organisation running on volunteers.

How to use it

  1. Write the jobs into the column headings yourself.
  2. Publish several weeks ahead — people need notice to swap.
  3. Put the swap rule and a contact on the sheet.
  4. Record swaps in the last column, agreed by both people.
  5. Pin it up and keep a copy where the rota is maintained.

What is on the sheet

The layout is fixed at a size that fits both A4 and US Letter, so the A4 and Letter files are visually identical and print at full size on either. Rows are set at a height that an adult can actually write a date and a few words into with a pen — most printable tables are built in a word processor and never tested with one.
