What this sheet is for

Keep one page that answers who is a member, how to reach them and whether they have paid, instead of three lists that disagree.

Who it is for

Sports clubs, societies, allotment associations, choirs, scouts and guides, residents' associations and any small membership organisation.

How to use it

  1. Number the members and keep the numbers between seasons.
  2. Take one emergency contact per member and keep it current.
  3. Update the paid-to column as money comes in, not at the end of the year.
  4. Check the register against the subscriptions record periodically.
  5. Keep it secure and hold only what you need.

What is on the sheet

The layout is fixed at a size that fits both A4 and US Letter, so the A4 and Letter files are visually identical and print at full size on either. Rows are set at a height that an adult can actually write a date and a few words into with a pen — most printable tables are built in a word processor and never tested with one.

Questions

Can we keep members' details on paper?

Yes, but rules on holding personal information apply to paper as much as to computers, and they differ by country. Hold as little as you need, tell members what you hold, keep it somewhere secure and destroy it when you no longer need it.
