What this sheet is for

Run a job that lasts longer than a day without losing track of what was ordered, what arrived, and what changed after the work started.

Who it is for

Small builders, contractors, maintenance teams, site supervisors and anyone running work that spans several days and more than one delivery.

How to use it

  1. Open one sheet per work order and write the agreed scope at the top.
  2. Break the job into tasks with an owner and a start and finish date.
  3. Log every order with its order number, then tick it in when it is delivered and record who checked it.
  4. Write each variation on the day it comes up, with who asked for it and who agreed it.

What is on the sheet

The layout is fixed at a size that fits both A4 and US Letter, so the A4 and Letter files are visually identical and print at full size on either. Rows are set at a height that an adult can actually write a date and a few words into with a pen — most printable tables are built in a word processor and never tested with one.

Questions

What counts as a variation?

Anything asked for that was not in the scope you wrote at the top — extra work, a changed specification, or a task removed. Writing it down on the day, with names, is what makes it recoverable later.

Does recording a variation here make it agreed?

No. It is a record that the conversation happened and who was in it. It is not an agreement in itself and it does not replace one.
