The same sheet, on screen. Totals and figures are worked out as you type, rows can be added or removed, and you can print it or download the completed version as a PDF. Everything stays in your browser — your entries are kept in this browser's own storage on this device, nothing is uploaded, and there is no account.

Who this is for

Catch a short delivery before the trades need it. Log every order with its quantity and price, then what actually arrived, and the sheet shows the line cost, any shortfall and which orders are still open.

Homeowners buying materials for their own renovation or for a builder working on a labour-only basis, and anyone running a self-build with several supplier accounts.

What this helps you track

  • Every order placed, with the supplier, item, quantity and unit price
  • The cost of each line and the total value ordered
  • What was delivered against what was ordered, and any shortfall or excess
  • Which orders are still outstanding and when they are expected
  • What has been spent with each supplier

How to use it

  1. Write the project, the delivery address and your main supplier accounts in the header.
  2. Enter each order as you place it: date, supplier, item with its unit, quantity, unit price and the expected delivery date.
  3. When the delivery arrives, count it against the delivery note and enter the quantity received.
  4. Line cost and shortfall are worked out in the browser and the workbook; a negative shortfall means more arrived than was ordered.
  5. Tick complete only when the line is fully delivered or the balance has been cancelled or credited.
  6. Fill the supplier table from each invoice or statement, and chase anything short before the trade that needs it arrives.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser
  • Excel / Google Sheets workbook

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The workbook uses plain formulas only — SUM, IF, COUNTIF and the like — so it opens in Excel, LibreOffice and Google Sheets without anything breaking, and every calculated cell is grey so you can see which figures it worked out.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

How do I handle different units?

Write the unit with the item, such as bags, sheets, lengths or square metres, and keep the quantity and unit price in that same unit. Shortfalls are per line, so mixed units across lines do not matter.

What if a supplier sends a substitute?

Record what arrived in the item's line with a note, or add a new line for the substitute and mark the original complete once it has been cancelled or credited. Check the substitute is suitable before it is used.

Why a separate table for supplier spend?

The order lines show what you asked for; invoices show what you were charged, including delivery and any credits. Totalling each supplier's invoices lets you compare the two and spot anything billed but not received.

Where do the prices come from?

From your own quotes, basket or trade account. The sheet supplies no prices or wastage allowances; it only multiplies and compares the figures you enter.
