What this sheet is for

Turn a mystery shop report into a short list of things that actually got done, rather than a score that was read out once and filed.

Who it is for

Managers and supervisors of an independent shop or a branch that receives mystery shopper visits, whether from head office or a scheme they pay for.

How to use it

  1. Fill in the visit date, when the report arrived and the result exactly as it was given.
  2. Write one row per point raised — the good ones too, so staff hear them.
  3. Agree an action for each, name an owner and put a date on it.
  4. Initial the done column as each is closed, and keep the sheet for the next visit.

What is on the sheet

One page, top to bottom:

Printed under the title: What a mystery shopper report said about this shop, and what was agreed, by whom and by when to put each point right — so the report turns into actions rather than a filing.

Your scheme's score, not ours. The score, the pass mark and the weighting of each section belong to whichever scheme your business uses. Copy the result across as it was given; this sheet is for the points raised and what happens next.

Write-on lines: Shop / branch · Visit date · Report received · Result given · Scheme / assessor ref. · Reviewed by · Review date

Points raised and actions agreed — one row per point, praise included

Table, 10 rows: Area · What the report said · Action agreed · Owner · By when · Done

Questions

Why is there no pass mark or score scale on the sheet?

Because every scheme scores differently and the mark that counts is the one your business or your head office set. The sheet has a blank for the result as given, so it works whatever the scheme.

Should praise go on here too?

Yes. A point the shopper liked is worth a row with the action 'keep doing it' and the name of whoever was on. It also stops the sheet reading as a list of failings.
