What this sheet is for

Trace a fixture change, a stock movement or a missing line back to the trade visit that caused it, instead of finding it at stocktake with no explanation.

Who it is for

Shop managers and duty managers in independent shops, branches and stores with concessions or regular supplier visits.

How to use it

  1. Log each trade visitor on arrival with their company and what they came to do.
  2. Write the area of the shop they worked in and tick whether stock was moved.
  3. Have a member of staff initial the line when the visitor leaves.
  4. Keep the sheet with the month's delivery and returns records.

What is on the sheet

One page, top to bottom:

Printed under the title: Trade visitors on the shop floor — reps, merchandisers, concession staff, auditors and engineers — who they were, what they came to do, which area they worked in and who saw them out.

What they did, not just that they came. This is the trade record, not the fire register. If your building keeps a visitor sign-in book for evacuation, visitors still sign that; this sheet is for what a supplier or concession actually did while they were here, so a stock change or a fixture move can be traced back to a visit.

Questions

Is this the same as the visitor sign-in book?

No. A sign-in book exists so you know who is in the building; this sheet exists so you know what a supplier or concession did on the floor. Keep both if your building has a sign-in book — this one is the trade record.

Why record whether stock moved?

Because a merchandiser moving lines between fixtures or taking returns away is the commonest reason a count is out later. One tick now saves an hour of wondering at stocktake.
