What this sheet is for

Carry a driver's own record of every pre-booked job that matches the operator's system, so a query weeks later is answered from the page and not from memory.

Who it is for

Private hire and chauffeur drivers working for an operator, and small operators who want the drivers' own sheets to reconcile against the office.

How to use it

  1. Write the operator, your badge, the vehicle and the shift at the top.
  2. Enter each booking as it is done, with the reference the operator gave it.
  3. Record the fare you were quoted and how it was paid — cash, card, account.
  4. Note no-shows, waiting time and extras so they are not disputed later.
  5. Total the shift at the foot and hand the sheet in or file it.

What is on the sheet

One page, top to bottom:

Printed under the title: Every pre-booked job for a shift — the booking reference, who, where from and to, how many, what was quoted and how it was paid — kept by the driver alongside the operator's system.

Write-on lines: Operator · Driver / badge no. · Vehicle reg / plate · Date · Shift

Bookings — in the order done; fares come from your operator's tariff or the quote, not from here

Table, 15 rows: Booking ref · Time · Passenger · From · To · Pax · Quoted · Paid · Notes

Write-on lines: Jobs done · No-shows · Cash taken · Card / account · Start / end mileage · Driver signature

Questions

Why are no fares or tariffs printed on the sheet?

Because fares are set by your operator's tariff or by the quote for the job, and they change. The sheet records the figure you were given for each booking.

Does this satisfy my licensing office's record-keeping?

It may or may not on its own — what a booking record must contain is set by the licensing rules where you work. Check what yours require and keep the sheet in that form; the columns here are the ones drivers most commonly need.
