What this sheet is for
Keep a contemporaneous mileage record in the vehicle, which is the kind that stands up, rather than one reconstructed at the year end.
Who it is for
Self-employed people, employees claiming mileage, small fleets and anyone running one vehicle for both business and private use.
How to use it
- Fill it in in the vehicle, at the end of the journey.
- Record the purpose in enough detail to mean something in two years — who you saw, not just 'meeting'.
- Note the odometer at the start and end of the period so totals reconcile.
- Keep completed sheets for as long as your tax authority requires.
What is on the sheet
The layout is fixed at a size that fits both A4 and US Letter, so the A4 and Letter files are visually identical and print at full size on either. Rows are set at a height that an adult can actually write a date and a few words into with a pen — most printable tables are built in a word processor and never tested with one.
Questions
What rate should I claim?
This sheet prints no rates. They are set by tax authorities, differ by country and vehicle, and change from year to year. Whether a journey counts as business, and how long records must be kept, are also questions for your own authority or accountant.
Is a paper log still acceptable?
Generally the requirement is that the record is accurate and made at the time, not that it is digital — but rules differ, so check yours. A paper log filled in at the time beats an app filled in from memory in December.
