Driver Licence Check Record

A driver licence check record — one row per driver per check with expiry, categories, endorsements, how it was checked and when the next check is due.

What this sheet is for

Keep the licence checks for a whole operation on one running register, so a lapsed licence or a new endorsement is caught at the check and not at the roadside.

Who it is for

Operators, transport managers and owner-drivers with staff — anyone who has to know that the people driving their vehicles are licensed to.

How to use it

  1. Write your operation's check interval at the top.
  2. Add a row each time a licence is checked, whether in person or online.
  3. Record the categories and endorsements as shown, not from memory.
  4. Work out the next check date from your interval, or sooner if the check found something.
  5. Note any action taken — a restriction, retraining, or none.

What is on the sheet

One page, top to bottom:

Printed under the title: A register of every driver's licence as checked: what was seen, when, what categories and endorsements it carried, and when the next check falls due under the operator's own policy.

Your interval, your policy. How often licences are checked, and what triggers a more frequent check, is the operator's policy and the rules where you are — not a figure this sheet prints. Write the operator's interval at the top and work the 'next check' column from it.

Write-on lines: Operator / depot · Checked by · Our check interval · Sheet no.

Questions

How often should licences be checked?

That is the operator's policy, shaped by the rules where you are and often by an insurer. The sheet prints no interval; it gives you a box for yours and a column to work it from.

What about a driver's consent to an online check?

Record how the check was done in the 'checked how' column. Whether and how consent is needed depends on the checking service and the rules where you are.
