What this sheet is for

Know whose pocket a missing key is in, and prove which set went back with which car when two of the same model were in on the same day.

Who it is for

Service receptionists, workshop controllers and anyone who runs the key board in a garage, bodyshop, valeting bay or dealership.

How to use it

  1. Give every set a tag number when it comes over the counter and write that, not just the registration.
  2. Log a row each time the keys move: in, to a technician, back to the board, out.
  3. Have the person taking the keys initial the row and write the time they come back.
  4. Note a spare key, a fob or a locking wheel nut key in the last column so it is handed back with the rest.

What is on the sheet

One page, top to bottom:

Printed under the title: Every set of keys that crosses the counter — in from the customer, on to the board, out to a technician, back to the board, and back to whoever collects the car — one row per movement.

One row per movement, not per car. A key that is not on the board is in somebody's pocket, and this sheet is how you know whose. Log the tag number, not just the registration: two silver hatchbacks with the same badge are a swapped key waiting to happen.

Write-on lines: Workshop / site · Week beginning · Key board / safe

Table, 14 rows: Date · Reg · Key tag · Customer · Movement · Time · Taken by · Returned · Notes

Questions

Why one row per movement rather than one row per car?

Because the question you ask is never 'which cars are in' — it is 'where are the keys for this one right now'. A row per movement answers that from the last line written; a row per car needs rubbing out every time a technician picks them up.

Is this the same as a key control register?

No. A key control register is a permanent list of which keys exist and who holds them long-term. This is a daily traffic log for customer keys that are only in the building for a few hours.
