Workshop Bay Booking Sheet

A free printable garage booking sheet — the day's jobs by time and bay, with the customer, the work booked, the technician, parts in, arrived and done.

First page of the Workshop Bay Booking Sheet — Put the day on one sheet the counter and the floor can both read, so a ramp is never double-booked and a car never waits all day for a part.

What this sheet is for

Put the day on one sheet the counter and the floor can both read, so a ramp is never double-booked and a car never waits all day for a part.

Who it is for

Service receptionists and workshop controllers in independent garages, tyre bays and small dealerships that plan the day on paper.

How to use it

  1. Fill in the date, how many bays are open and which technicians are in.
  2. Book each job against a time and a bay, not just a time.
  3. Tick 'parts in' only when the parts are physically on the shelf.
  4. Write the arrived time when the keys hit the board and the done time when the job is signed off.
  5. Mark whether the customer is waiting or has a courtesy car.

What is on the sheet

One page, top to bottom:

Printed under the title: The day's bookings on one sheet — which car is on which ramp at what time, what it is in for, who is doing it and whether the parts are on the shelf — so the counter and the floor agree.

Bays, not just bookings. Book the ramp, not just the car. A job with no bay against it is a car parked outside all day. Tick 'parts in' only when they are physically on the shelf, and fill 'arrived' when the keys are on the board, not when the customer rings.

Write-on lines: Workshop · Date · Bays / ramps open · Technicians on

Table, 14 rows: Time · Bay · Reg · Customer / phone · Job booked · Tech · Parts in · Arrived · Done · Waiting?

Questions

Why book the bay rather than the car?

Because the bay is the thing you run out of. A day with eight bookings and three ramps is fine if they are staggered and hopeless if they are not, and you only see that when the bay is written next to the time.

Is this the same as a facility booking sheet?

It is the workshop version. A room booking sheet books a space; this one books a ramp, a technician and parts together, which is what a garage day actually needs.
