What this sheet is for

Separate what the car arrived with from what was claimed for, and keep the actual hours and materials against each stage so the invoice and the estimate can be compared honestly.

Who it is for

Bodyshops, smart repairers and general garages doing accident and cosmetic repair, whether insurance or private work.

How to use it

  1. Fill in the vehicle, the paint code from the plate and the claim reference.
  2. Walk round the car on arrival and record every panel with damage, including old damage unrelated to the claim.
  3. As each stage is done — strip, repair, prime, paint, refit, polish — log it with the actual hours and materials.
  4. Have the customer sign at handover, next to the person who released the car.

What is on the sheet

2 pages, in this order:

Page 1

Printed under the title: One vehicle through the bodyshop: the damage as it was recorded on arrival, panel by panel, and then the work as it was actually done, stage by stage, with the hours and materials against each.

Actuals, not the estimate. Hours and materials go in as they happened, not as they were estimated. What the estimate said, the labour rate and the paint system's own mixing and flash times are your figures and your supplier's — this sheet is the record that sits alongside them.

Questions

Why record damage that has nothing to do with the claim?

Because it is the damage most likely to be argued about at handover. A scratch on the far side that was there when the car arrived is only defensible if it was written down on the day it arrived.

Where do flash times and paint mixing ratios go?

On the paint system's own data sheet, not here. This sheet records what was done and how long it took; the process figures belong to your paint supplier.
