Creator Rate Card and Quote Calculator

Creator rate card and quote calculator — price brand deliverables, usage rights and extras from your own rates, less any discount. Excel, PDF and browser.

First page of the Creator Rate Card and Quote Calculator printable — each deliverable, how many and your rate for it
Download Free · no sign-up

One page. The A4 and US Letter files are laid out identically, so neither is shrunk to fit.

Fillable PDF type and save

Spreadsheet formulas included

The fillable versions have real form fields — open them in any PDF reader, type into them and save. Printing help.

Fill it in online

The same sheet, on screen. Totals and figures are worked out as you type, rows can be added or removed, and you can print it or download the completed version as a PDF. Everything stays in your browser — your entries are kept in this browser's own storage on this device, nothing is uploaded, and there is no account.

Who this is for

A quote built from your own rates. List the deliverables with your rate for each, add extras as a flat amount or a percentage you choose, and the sheet totals the quote.

Creators, influencers and small channels quoting for sponsored posts, videos and campaigns who want each quote worked out the same way and kept on file.

What this helps you track

  • Each deliverable, how many and your rate for it
  • Extras charged as a flat amount or as a percentage of the deliverables
  • Any discount you choose to offer on this quote
  • The subtotal, extras and final figure quoted to the brand
  • The client, campaign and how long the quote stands

How to use it

  1. Fill in your name, the brand or client, the campaign, the quote date and the date the quote is valid until.
  2. List each deliverable — a post, a video, a story set, a newsletter mention — with the quantity and your own rate per item.
  3. Against each extra, enter either a flat amount or a percentage of the deliverables subtotal, whichever way you price it, and leave the others blank.
  4. Enter a discount percentage in the header only if you are offering one.
  5. The line totals and summary are worked out in the browser and the Excel workbook; on paper multiply across and add down.
  6. Write your terms in the notes box — payment timing, approval rounds, what the usage rights cover — and send or keep a copy with the brief.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser
  • Excel / Google Sheets workbook

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The workbook uses plain formulas only — SUM, IF, COUNTIF and the like — so it opens in Excel, LibreOffice and Google Sheets without anything breaking, and every calculated cell is grey so you can see which figures it worked out.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

What rates should I charge?

This sheet does not suggest any. Use the rates you have set for yourself, from your own price list or past deals. The hourly and day rate calculator can help you work out a rate from your own costs and time.

How are percentage extras worked out?

Each percentage is applied to the deliverables subtotal only, not to other extras. Flat amounts are added as they are. The discount is then taken off the subtotal plus extras.

What should usage rights cover?

That depends on what you and the brand agree: where they can use your content, for how long and whether they can pay to promote it. Write the scope in the detail column so the price and what it buys sit side by side.

Is this a contract?

No. It is a quote. For anything binding, check the rules where you are and put the agreed terms in writing that both sides sign.
