A free printable warehouse handover sheet — open orders, loads and stock out of place, kit and site checks, and two signatures at the change of shift.
One page. Choose your paper size — both versions are laid out identically, so neither one gets shrunk to fit.
Print it and write on it
Fill it in type and save
The fillable versions have real form fields — open them in any PDF reader, type into them and save. Printing help.
Give the incoming shift the state of the floor in writing, so a half-picked order or a pallet in quarantine is not rediscovered two hours in.
Shift leads, team leaders and supervisors in a warehouse, depot or distribution centre that runs more than one shift.
One page, top to bottom:
Printed under the title: What the outgoing shift leaves the incoming one — the work still open, the stock that is not where it should be, the kit that is down, and the two names that agree it.
For the person who was not here. Write it for someone who was not here. 'The usual' or 'see Dave' tells the next shift nothing at three in the morning. If it is not on this sheet, the incoming shift is entitled to assume it is not happening.
Write-on lines: Site / warehouse · Date · Shift ending · Shift starting · Handing over · Taking over
Table, 7 rows: Order, load, job or part · Qty · Status / where it is now · Next action needed · Who · By when
Signature strip: Signed — handing over · Signed — taking over · Time
Because a handover is an agreement, not a note. The outgoing lead is saying this is everything; the incoming lead is saying they have read it. If something turns up later that was not on the sheet, the two names tell you where the conversation starts.
Write 'nothing open' in the table and sign it anyway. A blank sheet could mean a quiet shift or a handover that never happened, and the next person cannot tell which.
Turn 'walk the floor' into a record that shows which aisle was looked at, what was wrong, and whether anyone did anything about it.
Hand a shift, a job or a role over properly, on the assumption that the person taking it does not yet know what they do not know.
Keep a week of daily walk-around checks on a single sheet that lives with the machine, so the record is made where the machine is rather than in an office.
Stop a count difference being adjusted just to make the numbers agree. The same checks are walked every time and the cause written down before anyone touches the system.
Every sheet, binder, game and puzzle on Upkeep Papers is free to download, with no email and no account. Making them is not free: each one takes days of research, design and checking, and the site costs money to run. If something here saved you time, you can buy us a coffee. It is entirely optional: nothing is locked, and nothing changes if you don’t.
