What this sheet is for

Know at a glance who can open the shop tonight, and make sure a leaver's keys come back and the alarm code is changed and everyone told.

Who it is for

Owners and managers of an independent shop or a branch, and anyone responsible for the keys and alarm of retail premises.

How to use it

  1. Write the alarm company's contact at the top — never the code itself.
  2. Add a row for each person the day they are given a key or told the code, and have them sign.
  3. Date the returned column and strike through the row when someone leaves.
  4. Log every code change below, with who was told and who confirmed it.

What is on the sheet

2 pages, in this order:

Page 1

Printed under the title: Who holds a key to the shop and who knows the alarm code, with the date each was given and the date it came back — and a record of every code change, so a leaver never leaves with the shop still open to them.

Names on the page, never the code. Never write the alarm code on this sheet or anywhere near it. This register records who has been told the code and when it was last changed; the code itself lives in your alarm company's records and in people's heads.

Questions

Why must the code never be written on this sheet?

Because the register lists exactly the people who could use it, and it will be kept somewhere in the shop. The code lives with your alarm company and in the heads of the people on the list; this sheet only says who they are.

How often should the alarm code be changed?

Whenever someone who knew it leaves, whenever a key is lost, and otherwise as often as your insurer or your alarm company advise. The change log shows how long it has been.
