What this sheet is for

Launch an offer complete and take it down complete, with no promotional price left on the till and no point-of-sale still up a week after the end date.

Who it is for

Shop managers and supervisors running promotions in an independent shop or a branch that receives them from head office.

How to use it

  1. Start a fresh sheet for each promotion and write the name, dates and lines at the top.
  2. Work through the set-up list in the days before the start date.
  3. Tick the running items as you go, and the takedown items on the end date.
  4. Use the notes for what sold and what did not, so the next one is better.

What is on the sheet

2 pages, in this order:

Page 1

Printed under the title: One promotion from the day the stock and point-of-sale arrive to the day the last ticket comes down — so it goes live complete and comes off complete, with no leftover offer price still on the till.

One sheet per promotion. The offer itself — the lines, the price, the dates — comes from your promotion brief. Write those at the top and tick the jobs below; the takedown section matters as much as the set-up, because an offer left running is money out the door.

Write-on lines: Promotion name / code · Starts · Ends · Shop / branch · Lines included · Fixture / location · Set up by

Before it goes live

  • Promotional stock received and counted against the delivery note
  • Point-of-sale material received, checked and stored until the start date
  • Offer prices loaded on the till and tested with a trial scan
  • Shelf-edge labels printed for every line in the offer
  • Fixture, table or dump bin built and positioned as the brief shows
  • Stock merchandised and labels fitted the evening before or on the morning
  • Staff briefed on the offer, the dates and how the till handles it
  • Photo taken of the finished display for head office or your own record

While it runs

  • Display replenished and tidied on the walk-round
  • Till price checked against the shelf label while the offer runs
  • Damaged or missing point-of-sale replaced or removed
  • Stock running low reported before the display looks empty

Takedown

  • Offer prices removed from the till on the end date and a trial scan done
  • Promotional shelf-edge labels replaced with full-price labels
  • Point-of-sale material taken down, and reusable pieces stored or returned
  • Leftover stock counted and recorded on the price change or returns sheet
  • Fixture reset to its normal layout or planogram
  • Sales and leftover figures passed to whoever assesses the promotion

Ruled lines: Notes — what sold, what did not, what to do differently next time

Questions

Why is takedown given as much space as set-up?

Because an offer that is put up late costs a few days of sales, but an offer left running costs the discount on every sale until someone notices. The trial scan after the end date is the item most worth doing.

Where do the leftover stock figures go?

Count them on the takedown day and record them on the Price Change and Markdown Record if they are being reduced, or on your returns paperwork if they are going back to the supplier.
