Keep the time, place and business reason for every day on the road as it happens. At month end the full and part days are counted for your tax or expenses claim, at the rate you use.
Lorry, coach and delivery drivers, employed or self-employed, who spend nights away from home for work.
2 pages, in this order:
Printed under the title: One line for every day spent away from home on the road: when you left, when you got back, where you slept and the load or trip it was for, so the month's full and part days away can be counted and shown.
Your rate and your method. How full and part days away are counted, which rate applies and whether an employer's allowance changes it are set by the tax rules where you are, and can differ for employees and the self-employed. No rate is printed: write the one you use, and where it comes from, in the boxes at the end of the log.
Write-on lines: Driver · Month and year · Employer or business · Home base
Also printed: Home · Day away
Table, 31 rows: Date · Left · Back · Full · Part · Slept at · Trip ref · Business purpose · Allowance
Write-on lines: Full days away · Part days away · Allowances received · Trips this month · Rate or method you use · Where it comes from · Checked on
Ruled lines: Anything to explain: a trip cut short, a rest day away, a night at home mid-trip
Rates and methods are set by the tax rules where you are, change from year to year, and can depend on whether you are employed or self-employed and on any allowance you already get. The sheet keeps the evidence and leaves a box for the rate you use and its source.
On this sheet, the day you leave home and the day you come back. How part days are treated in a claim is for the tax rules where you are; the log makes sure both are written down with the times.
The expenses claim itemises money: fuel, tolls, meals and nights against receipts. This log counts days away, with the time, place and reason for each, which is the evidence a claim based on days away may need.
Get back what a trip cost you, in one claim with the receipts in order, rather than a shoebox of paper and an argument about the nights.
Keep a plain written record of when a driver started, stopped and rested, so the week can be checked against whatever limits apply to you.
Account for a day at the wheel in enough detail to answer an operator, a client or an inspector, and see for yourself how close to your limits you are running.
Keep your own record of what tachograph paperwork you produced and when it left your hands, so a missing chart or a late download is not your word against the office.
