What this sheet is for

Run the props table and wardrobe from one list, and turn the get-out into a returns list instead of a hunt through boxes.

Who it is for

Stage managers, props and wardrobe teams in amateur dramatics, school and youth theatre, musicals and small touring companies.

How to use it

  1. Go through the script and list every prop by act and scene, including furniture and consumables.
  2. List costume by piece, not by character — a character with three changes is three rows or more.
  3. Fill the source column as each item is found: made, hired, borrowed, bought.
  4. Write where each item is preset for the show so the props table sets itself.
  5. At the get-out, work down the returned-to column until every row is filled.

What is on the sheet

2 pages, in this order:

Page 1

Printed under the title: Every prop and every costume piece in a production — what it is, who uses it, where it comes from, where it lives during the show and where it goes back to afterwards.

The source column is the get-out list. Where it comes from decides what happens at the get-out: hired goes back by a date, borrowed goes back to a person, bought and made go into stock. Fill the source column early and the returns list writes itself.

Write-on lines: Production · Company · Stage manager · Run dates · Props by · Wardrobe by · Hire returns due · Storage after run

Props — one row per item, furniture and consumables included — source: made, hired, borrowed, bought

Table, 12 rows: Item · Act / sc · Used by · Source · Preset / lives · Got · Returned to

Page 2

Costumes — one row per piece, not per character — source: made, hired, borrowed, actor's own

Table, 23 rows: Piece · Character · Actor · Source · Change / scene · Fitted · Returned to

Questions

Why is there no hire deadline or budget column?

Hire return dates are set by whoever you hired from, and the budget is the company's own; both go in the header fields, not on a per-row default. The list is about where things are and where they go.

Where do quick changes go?

In the change column of the costume table — note the scene and mark it as a quick change so wardrobe knows which rows need someone standing by.
