What this sheet is for

Take the agreement to the gig on one sheet, so whether food was included is settled by reading, not remembering.

Who it is for

Bands, solo acts, DJs and the person in the band who does the emails.

How to use it

  1. Fill in the venue, contact on the day and the reference of the contract or email that confirms the booking.
  2. Copy the times exactly as written, and note what confirmed each one.
  3. Tick who supplies each item — PA, engineer, backline, parking, food — and add detail.
  4. Record the fee, deposit and any split with when and how it is paid.
  5. Mark payments received as they come in.

What is on the sheet

One page, top to bottom:

Printed under the title: The terms of one booking on one page — venue, contact, times, what is supplied, what is owed and when — so the band is not relying on memory on the night.

Summary, not substitute. A summary of what was agreed, not the agreement itself. Keep the contract, email or message that confirms each line. Anything left blank here was not agreed, which is worth knowing before the van sets off.

Write-on lines: Band / act · Venue / event · Date of gig · Booked on · Contact on the day · Phone · Promoter / agent · Contract ref · Load-in · Sound check · Doors · On stage · Set length · Curfew

Questions

Is this a contract?

No. It is a summary of one, written for the person standing at the venue door. The contract, email or message that confirms each line is the agreement; keep it, and note on the sheet which one it was.

Why no standard fee or cancellation terms?

Because they are yours to negotiate and differ with every booking. The money table has an item line for cancellation terms; what goes in it is what you and the venue agreed.
