What this sheet is for

Put the truck, the lift, the crew call and the curfew on one page so the get-out is planned before the show rather than improvised after it.

Who it is for

Production managers, stage managers, tour managers and crew chiefs on touring shows, festivals and one-nighters.

How to use it

  1. Write in the venue's access time, dock, lift and parking arrangements at the top.
  2. List the get-in steps in order with planned times and who is responsible.
  3. Fill in actual times as each step happens and tick it done.
  4. Do the same for the get-out, then record when the stage was clear and the truck away, with the venue's sign-off.

What is on the sheet

2 pages, in this order:

Page 1

Printed under the title: The load-in and load-out of a show as a timed list: who arrives when, what happens in what order, and who signs off each step, so the truck is not waiting on a lift that is still in use.

Times are the venue's and yours. Every time on this sheet is yours. Venue access hours, crew calls, curfews and the truck's slot all come from the venue, the crew agreement and the haulier — write in what they gave you, and tick each line as it actually happens.

Questions

Why is there no standard get-in timeline?

Because there is no such thing. A pub gig, a theatre tour and a festival stage have nothing in common beyond the order, and the times come from the venue, the crew agreement and the haulier. This sheet holds the times you were given.
