What this sheet is for

Stop a website vanishing because a domain was registered in a former employee's name and paid on a card that has since been cancelled.

Who it is for

Small businesses, clubs and charities whose website was set up by someone who has since moved on, and anyone who looks after more than one domain.

How to use it

  1. List every domain, including old names that redirect and ones bought defensively.
  2. Record in whose name each one is registered and which card or invoice pays it.
  3. List hosting, DNS, certificates, email and any service the site depends on.
  4. Read the renewal column at every review; move anything registered to a person into the organisation's name.

What is on the sheet

One page, top to bottom:

Printed under the title: Every domain, hosting account, certificate and web service the organisation depends on — in whose name, when it renews and whether it renews itself — so the site does not vanish with an expired card.

Whose name, and whose card. A domain registered in a former employee's name, on a card since cancelled, is the commonest way a website disappears; 'in whose name' and 'paid how' are the columns that catch it. No account passwords here — only where they are held.

Write-on lines: Organisation · Record kept by · Last reviewed · Next review

Domain names — one row per domain, including redirects and old names

Table, 4 rows: Domain · Registrar · In whose name · Renews on · Auto · Paid how · Login held · Cost

Hosting, certificates and services — hosting, DNS, certificate, email, forms, backups

Table, 6 rows: Service · Provider · What it does · In whose name · Renews on · Auto · Login held · Cost

Questions

Why record who the domain is registered to?

Because the registrant, not the organisation, is who the registrar will deal with. If that person has left, the renewal notice goes to an address nobody reads and the domain lapses on schedule. This column is the one that finds those before they cost you the site.
