What this sheet is for

Turn the cupboard full of blinking boxes into a list that says what each one is for and what stops working if it is switched off.

Who it is for

Small IT teams, office managers who inherited a comms cupboard, and contractors asked to document a site they did not build.

How to use it

  1. Fill in the rack's ID, location, power feeds and who holds the key at the top.
  2. Work up from the bottom of the rack, one row per device, leaving rows for empty U positions.
  3. Write the role as what breaks if the device is off, not just its type.
  4. Note the warranty end date so support can be renewed before it lapses.

What is on the sheet

One page, top to bottom:

Printed under the title: What is in the rack, U by U — each device's name, make, serial, asset tag, what it does and which power feed it hangs off — so the box in the cupboard is not a mystery to the next person.

Bottom up, and say what it does. Count U positions from the bottom of the rack, as the rails are numbered. Write what the device is FOR, not just what it is: 'file server for accounts' tells someone what breaks if it is switched off. No login details belong on this sheet.

Write-on lines: Rack ID / name · Room / location · Recorded on · Recorded by · Power feeds (A / B) · Cooling · Rack key held by · Total U

Rack contents — one row per device, blank rows for empty U

Table, 12 rows: U pos. · Device name · Make & model · Serial no. · Asset tag · Role · Feed · Warranty to

Questions

Why no login details on this sheet?

Because a rack inventory gets pinned to the cupboard door and photocopied for contractors. It records what is there and who holds access; credentials belong in whatever system your organisation uses for them, never on paper next to the hardware.
