What this sheet is for

See every renewal coming and every seat you pay for but do not use, on one page, without a single licence key written down.

Who it is for

Small businesses, charities and office managers who pay for software by subscription and have been caught out by a lapse or a surprise renewal.

How to use it

  1. List every product paid for or licensed, including free tiers that could bill.
  2. Record where the key or account is held — not the key itself.
  3. Compare seats bought with seats in use before each renewal.
  4. Read down the renewal column at every review and act on what is close.

What is on the sheet

One page, top to bottom:

Printed under the title: Every piece of software the organisation pays for or is licensed to use — the licence type, how many seats, how many are in use, who owns it and when it renews.

Where the key is, not the key. No licence keys are written here — record WHERE the key or the account is held (the supplier portal, a named folder, a password manager) and who can get to it. The renewal date column is the one to read first at every review.

Write-on lines: Organisation / site · Register kept by · Last reviewed · Next review

Table, 14 rows: Software · Licence type · Seats · In use · Supplier · Key held where · Owner · Renews on · Cost

Questions

Why is there nowhere to write the licence key?

Because this register is for reading at a desk and sharing with whoever handles renewals, and a key on it turns a planning sheet into a security problem. Record where the key lives and who can reach it; that is all a renewal needs.
