Starter and Leaver IT Checklist

A free printable IT onboarding and offboarding checklist — accounts, kit and access set up for a starter, then the same list run backwards when they leave.

First page of the Starter and Leaver IT Checklist — Give a new starter everything on day one and take it all back on the last day, with the leaver half checked against what the starter half says went out.

What this sheet is for

Give a new starter everything on day one and take it all back on the last day, with the leaver half checked against what the starter half says went out.

Who it is for

IT support, office managers and anyone in a small firm who sets up accounts and issues laptops without a dedicated IT department.

How to use it

  1. Fill in the person's details and tick the starter half on their first day.
  2. Keep the sheet with the person's file for as long as they are with you.
  3. When they leave, work through the leaver half against the starter half.
  4. Have both IT and the line manager sign the bottom before the sheet is filed.

What is on the sheet

One page, top to bottom:

Printed under the title: One sheet per person, used twice — the accounts, kit and access a starter needs on day one, and the same list run backwards when they leave, so nothing is left switched on.

Same sheet, both ends of the job. Fill in the starter half on the first day and keep the sheet. When the person leaves, work the leaver half against what the starter half says was issued — a leaver list that does not know what went out cannot know what should come back.

Questions

Why disable an account rather than delete it?

Because a deleted account takes its mailbox, files and audit trail with it, and the question 'what did they have access to' often comes up after they have gone. Disabling shuts the door; deleting can wait until you are sure nothing is needed.
