Never do work nobody authorised, and never argue about whether they did. Every line carries a tick, a name and a time.
Service advisers and owner-operators who quote work and then need to prove the customer agreed to it.
One page, top to bottom:
Printed under the title: The work put to the customer, line by line, and the record of which lines they said yes to, how, and when — including the extra work found once the car was on the ramp.
Your figures; our columns. Every figure on this sheet is the workshop's own — your labour rate, your parts prices, your tax treatment. What the sheet adds is the authorisation trail: no line goes ahead without a tick, a name and a time beside it.
Write-on lines: Job card no. · Vehicle reg · Customer · Contact no. · Date estimated · Estimated by · Mileage · Estimate valid until
Table, 5 rows: Item of work / part · Labour · Parts · Line total · Authorised · By / how · Date & time
Table, 3 rows: Found · Labour · Parts · Line total · Authorised · By / how · Date & time
Write-on lines: Estimate total · Additional authorised · Declined work noted on invoice · Customer signature
Because your labour rate, parts prices and tax treatment are yours, and they change. Every figure on the sheet is one you write in; what the sheet supplies is the authorisation trail beside each one.
That one is the estimate the customer takes away. This one stays with the job card and records what happened to each line: authorised or not, by whom, how and when, including the additional work that turns up once the car is up.
Put the price in writing before the work starts, which is what prevents most garage disputes.
Know at a glance whether a part is in yet, who fitted it, and where the old one went. The customer who asks for it back gets an answer.
Get the condition of the car agreed and signed before it goes anywhere. A scratch found at handback then has a record to be checked against.
Price a job in writing, with the exclusions written down, so both sides know what was and was not covered before the work starts.
Every sheet, binder, game and puzzle on Upkeep Papers is free to download, with no email and no account. Making them is not free: each one takes days of research, design and checking, and the site costs money to run. If something here saved you time, you can buy us a coffee. It is entirely optional: nothing is locked, and nothing changes if you don’t.
