Tyre Hotel Storage Record

A free printable tyre hotel record: each stored tyre's size, date code, tread and damage, the tag and rack location, and the customer's signature in and out.

First page of the Tyre Hotel Storage Record — Know whose wheels are on which rack and what state they went in, before the customer is back. A condition signed for at drop-off is what answers a question about a kerbed rim six months later.

What this sheet is for

Know whose wheels are on which rack and what state they went in, before the customer is back. A condition signed for at drop-off is what answers a question about a kerbed rim six months later.

Who it is for

Garages, tyre centres and fitters who store customers' summer or winter sets between seasons.

How to use it

  1. Give the set a tag number, write it on the sheet and on every wheel or bag, and note the rack location.
  2. As the set comes off the car, fill in each tyre: size, make, date code, lowest tread and any damage, then tick what is kept with it.
  3. Go through the sheet with the customer, have them sign the condition as recorded, and give them the tag number and a copy.
  4. When the set comes out, check each tyre again before it goes back on and fill in the out-check column.
  5. Have the customer sign at collection, and start a fresh sheet for the set that goes on the rack in its place.

What is on the sheet

One page, top to bottom:

Printed under the title: One customer's stored set per sheet, from drop-off to refitting: each tyre as it went on the rack, what was kept with it, where it is racked, and what the customer signed for at each end.

Questions

Why is there no minimum tread depth or tyre age on the sheet?

The legal minimum differs from country to country and between vehicle types, and tyre makers give their own advice on age. The sheet records what each tyre measured and its date code; whether it is fit to go back on is for the fitter to judge against the makers' guidance and the rules where you are.

Why check the tyres again when they come out of storage?

A set can pick up damage on the rack that was not there when it went in, such as cracking from heat or ozone, or a tyre pushed out of shape by the way it was stacked. Tyre makers' storage advice includes a check by a fitter before stored tyres go back on, and the out-check column is where that check is written down.

Where do the wheel nut torque and pressures go?

On the fitting record for the job that puts the set back on, with the vehicle maker's figures and where they came from. This sheet only notes whether a wheel nut re-check was advised to the customer.
