Volunteer Rota and Availability Grid

A free printable volunteer rota sheet — an availability grid to fill in first, then the rota itself with a name against every duty and a column for swaps.

First page of the Volunteer Rota and Availability Grid — Stops the rota being built from guesswork, because the dates people cannot do are written down before any name is put against a duty.

What this sheet is for

Stops the rota being built from guesswork, because the dates people cannot do are written down before any name is put against a duty.

Who it is for

Rota organisers in churches, community halls, food banks, charity shops and any group whose week depends on volunteers turning up.

How to use it

  1. Write the dates you are covering across the top of the availability grid.
  2. Ask each volunteer to mark every date free, unavailable or unsure.
  3. Write your own duty names into the blank headings on the rota below.
  4. Fill the rota from the grid, then note any swap in the last column so the sheet stays true.
  5. Give everyone a copy, or pin it where the team actually looks.

What is on the sheet

2 pages, in this order:

Printed under the title: The two halves of filling a rota on one sheet: who is free on which date, and then the dates themselves with a name written against every duty.

Availability first, then the rota. Fill the availability grid first, with the team in the room or by asking round, then write the rota underneath from what it shows. Duties, dates and how far ahead you plan are yours — write your own into the blank headings.

Questions

Why are the duty headings blank?

Because no two groups share the same duties. Welcome, sound, reading, counting, refreshments, setting out chairs — write in yours and the sheet fits your group rather than somebody else's.

Why keep availability and the rota on one page?

So the person drawing up the rota can see both at once. Separated, the grid gets lost and the rota gets built from whoever answered their phone.
