What this sheet is for

Put one collection on one page, counted and signed by two people, so the figure that reaches the accounts can be traced back to the table it was counted on.

Who it is for

Treasurers, wardens, stewards, sidespeople and counting teams at a church, chapel, meeting house or any group that takes a collection.

How to use it

  1. Count with two people present and both names at the bottom of the sheet.
  2. Enter notes and coin by denomination so an error can be found rather than hunted.
  3. List envelopes and cheques separately, with the fund anything designated goes to.
  4. Add the totals and both sign the sheet before the money is put away.
  5. Write in the banking date and reference when the money is paid in.

Printed under the title: One collection, counted and signed by two people: notes and coin by denomination, envelopes and cheques listed, then totals and banking. Who may count is your group's own policy; this records it was followed.

Questions

Why does it not say how many people must count?

Because that is your group's own policy and, for a registered charity, a matter for your trustees and the rules where you are. The sheet is laid out for two because that is the common arrangement, and it records that your policy was followed.

What about giving that never touches a plate?

Standing orders, bank transfers and online giving do not belong on a count sheet — they arrive already recorded. Keep those in the accounts and use this only for money that was physically counted.
