What this sheet is for

See how much donated stock has to be handled to produce a day's sales, and hold the merchant's collection dockets in the same place as the sorting they came from.

Who it is for

Charity shop managers and the back room volunteers who sort, price and bag up in a shop run for a church, hospice or local charity.

How to use it

  1. Log the bags that come in each day before they are opened.
  2. Record how many items went out priced to the shop floor.
  3. Count the bags that go to rag, to recycling and to disposal separately.
  4. Enter every collection with the merchant, the weight and the ticket number.
  5. Get the driver or collector to sign for what they take.

What is on the sheet

One page, top to bottom:

Printed under the title: What came in the back door and where it went: bags sorted, stock priced out to the floor, and the rag and recycling that left with a weight and a ticket number.

The back room, not the shop floor. This is the back room's own record, separate from the till. It gives you the one thing a takings sheet cannot show: how much donated stock has to be handled to produce a day's sales, and what the merchant actually collected.

Questions

Why is there nowhere for the rate paid per kilo?

Because that is between your charity and your merchant, and it moves. The sheet records the weight and the ticket number, which is what you need to check any payment against whatever rate you have agreed.

How is this different from the takings sheet?

The takings sheet is the till. This is the back door: what arrived, what was worth pricing, and what left as rag. A shop can have a good day on the till and still be drowning in unsorted bags, and only this sheet shows that.
