Settle what a pitch looked like on the day it was handed back, rather than arguing about ruts and scorch marks a fortnight later.
Site wardens and groundstaff turning pitches round between parties on a touring site, campsite or holiday park.
One page, top to bottom:
Printed under the title: The walk round a pitch after one party leaves and before the next one arrives — grass, hardstanding, hook-up post, waste and anything left behind or broken.
Noted on the day, not later. The point of writing it down is the argument you do not have later. A pitch noted as scorched, rutted or missing a post cover on the day it was handed back is a fact; the same thing noticed a fortnight later is an opinion.

Because what you recover and how you handle it are set by your own terms and the agreement the party signed. This sheet is the evidence that something was damaged and when it was found; the charging decision sits elsewhere.
It helps when they are still on site and the finding is obvious, but plenty of parties leave at first light. A dated, initialled entry made on the day is the useful thing; a signature is a bonus, not the point.

Walk the same route every time so the far corner gets looked at, and leave a written note of what needs doing rather than a memory of it.
Know where a unit went and who was handling it, which is the question that matters when something gets clipped or a pitch turns out to be double-booked.
Run the same changeover every time, and catch damage before the next guest arrives and it becomes untraceable.
