What this sheet is for

Close a site down in an order that does not leave water in a pipe or stock in a cupboard, and leave a record of how it was left.

Who it is for

Owners and wardens of seasonal campsites, touring parks and glamping sites that shut for part of the year.

How to use it

  1. Cross out anything your site does not have before you start walking.
  2. Work down the page in order: water, electrics, buildings, grounds, records.
  3. Take a closing reading from every hook-up meter and file it with the sheet.
  4. Write the spring jobs in the notes as you find them, not from memory afterwards.
  5. Photograph how the site was left and file the photos with this sheet.

What is on the sheet

2 pages, in this order:

Page 1

Printed under the title: The campsite closedown checklist — water off and drained, hook-ups isolated, the block stripped, the grounds cut back and the season's records filed, worked through in order.

Cross out what you do not have. Work down the page rather than round the site: water and electrics first, then the buildings, then the ground, then the paperwork. Cross out what your own site does not have, and write in at the end what it does that is not here.

Water and drainage

  • Turn off and drain the supply out to the pitches
  • Drain and isolate standpipes, taps and drinking points
  • Drain the showers, basins and washing-up sinks
  • Empty, flush and close the chemical disposal point
  • Lag or protect anything left in the ground over winter

Electrics and hook-ups

  • Take a closing reading from every hook-up meter and file it
  • Isolate the bollards and lock the socket covers down
  • Note every cracked lid, loose socket or damaged cable for spring
  • Book whatever inspection your own scheme asks for before reopening

Toilet and shower block

  • Strip, clean and dry every cubicle and shower tray
  • Empty, clean and prop open the washing machines and dryers
  • Turn off water heaters and space heaters at the isolator
  • Leave doors, windows and vents as your damp plan requires

Pitches and grounds

  • Last cut of the grass, edges, banks and hedges
  • Lift, clean and store pitch numbers, markers and pegs
  • Clear gullies, ditches and drains of leaves and silt
  • Note the pitches that flooded, rutted or went bare this season

Glamping units and hire stock

  • Strip and launder bedding before it goes into storage
  • Drain stoves, kettles, pipework and water containers in each unit
  • Count hire stock back in and list what is missing or broken
  • Set the damp and rodent precautions each unit needs

Buildings, stores and plant

  • Clean, fuel down and store mowers, strimmers and machinery
  • Empty and defrost fridges and freezers in the shop or bar
  • Check roofs, gutters and flashings before the wet months
  • Put the out-of-season sign and contact details at the entrance

Security, records and the last walk

  • Retire the season's gate codes and issue nothing further
  • Set the alarm, cameras and out-of-season contact number
  • File the season's meter readings, fault lists and sheets
  • Walk the whole site once more and photograph how it was left

Ruled lines: Notes — damage found, jobs held over to spring, stock to reorder

Questions

Why does the checklist not say when to close or how far to drain?

Because both depend on your climate, your ground and the equipment you have. The list is the order to work through; your own suppliers and handbooks set the detail, and your own dates set the timing.

Does it cover the reopening as well?

No, deliberately. Opening is a different walk with different risks, and trying to run both off one page usually means half of each gets ticked.
