What this sheet is for

Know who is still holding a fob from a party that left, and know when the code was last changed without asking three people.

Who it is for

Campsite, touring park and storage yard wardens, and anyone responsible for a gate that opens on a code.

How to use it

  1. Record each code change with the date, who set it and how guests were told.
  2. Log every fob, card or code as it goes out, against the pitch it went to.
  3. Write in the return date the moment it comes back over the desk.
  4. Scan the open rows before a code change so nothing is still out.
  5. Start a fresh sheet each season and file the old one.

What is on the sheet

One page, top to bottom:

Printed under the title: The site barrier code log — when the code was last changed, who changed it, and which fob, card or code went out to which pitch and came back.

Who is still holding one. A gate code is only as good as the list of people who have it. Keep the change record and the issue log on the same sheet and you can see at a glance who is still holding a fob from a party that left. How often the code changes is your decision, not this sheet's.

Write-on lines: Site · Barrier or gate · Season or year

Questions

How often should the gate code be changed?

That is your decision and depends on how your site works, who holds codes and what your insurer asks of you. The sheet records what you did and when, so the pattern is visible — it does not set the interval.

Why record how guests were told?

Because a code change that reached the arrivals email but not the party already on pitch nine is the one that generates a midnight phone call.
