Record who was actually on site and for how long, which is not always the same thing as what a timesheet says.

A free printable out of hours log — who is on the premises outside normal hours, why, which part of the site, and when they expected to leave and actually did.
One page. Choose your paper size — both versions are laid out identically, so neither one gets shrunk to fit.
Print it and write on it
Fill it in type and save
The fillable versions have real form fields — open them in any PDF reader, type into them and save. Printing help.
Know who is in an otherwise empty building, and give yourself a time against each name that makes it obvious when somebody has not come out.
Office, school, factory and site managers, security and keyholders, and anyone responsible for people working evenings, weekends or nights.
One page, top to bottom:
Printed under the title: Anyone on the premises outside the times the building is normally occupied — why they are there, which part of the site, when they expected to leave and when they actually did.
An expected time makes it checkable. The column that earns this sheet is the one for the time somebody expected to be out. It turns a list of names into something that can be checked: a person still signed in past their own estimate is a question worth asking. What counts as out of hours, and who has to be told before somebody works alone, are yours to set.
Write-on lines: Site or building · Week beginning · Log held by · Sheet no.
Table, 11 rows: Date · Name · Reason on site · Area · In · Out due · Out · Contact · Checked by
Because a sign-in with no expected time cannot be checked. A name still on the sheet an hour past the time that person wrote down is a prompt to make a phone call, and that prompt is the whole value of the page.
Somewhere the people who need it can reach it, but not on an open reception desk — it carries names, contact numbers and times when a building is nearly empty. Who sees it, and how long it is kept for, is a decision for you and the rules where you are.
No. It is a record, not a conversation. What your organisation asks of people working alone or after hours is set by you; this sheet just makes sure it is written down somewhere other than one person's memory.
Record who was actually on site and for how long, which is not always the same thing as what a timesheet says.
Keep a contemporaneous record of a shift, written as things happen rather than reconstructed at the end of it.
Turn a barrier that keeps sticking into a written history you can put in front of whoever maintains it, and make the state a gate was left in a matter of record rather than of memory.
Know which cards are live and who is holding them, so a card that never comes back is a line you can see rather than a door nobody has thought about.
Every sheet, binder, game and puzzle on Upkeep Papers is free to download, with no email and no account. Making them is not free: each one takes days of research, design and checking, and the site costs money to run. If something here saved you time, you can buy us a coffee. It is entirely optional: nothing is locked, and nothing changes if you don’t.
