What this sheet is for

Know who came, and have something to work from afterwards, without collecting more about people than the event actually needs.

Clubs, community groups, training sessions, open days, AGMs and volunteer events.

How to use it

  1. Put the event and date at the top before anybody arrives.
  2. Ask for as little as the event genuinely needs.
  3. Total the attendance at the end — it is the figure you will be asked for.
  4. File it with the event papers.

What is on the sheet

The layout is fixed at a size that fits both A4 and US Letter, so the A4 and Letter files are visually identical and print at full size on either. Rows are set at a height that an adult can actually write a date and a few words into with a pen — most printable tables are built in a word processor and never tested with one.

Questions

Should I ask for phone numbers and addresses?

Think hard first. A sign-in sheet on a table is readable by everybody who signs after them. Collect a contact only where you have a real reason to, and say what it will be used for.

Is it safe to keep this on paper?

It holds other people's personal details, so keep it somewhere secure, show it to no more people than need it, and destroy it once there is no longer a reason to hold it. Data protection law applies to a sheet of paper exactly as it does to a database.
