What this sheet is for

Know who is in the building on an ordinary day, and be able to say so on a bad one.

Who it is for

Offices, schools, surgeries, factories, sites, community halls and anywhere else people arrive who do not work there.

How to use it

  1. Keep it at the point where visitors actually arrive.
  2. Fill in the time out as people leave, not at the end of the day.
  3. Check for anyone still signed in before locking up.
  4. Start a fresh sheet each day and file the old one.

What is on the sheet

The layout is fixed at a size that fits both A4 and US Letter, so the A4 and Letter files are visually identical and print at full size on either. Rows are set at a height that an adult can actually write a date and a few words into with a pen — most printable tables are built in a word processor and never tested with one.

Questions

Is it safe to keep this on paper?

It holds other people's personal details, so keep it somewhere secure, show it to no more people than need it, and destroy it once there is no longer a reason to hold it. Data protection law applies to a sheet of paper exactly as it does to a database.

Is a visitor book a legal requirement?

That depends on the country, the industry and the building, and this sheet does not attempt to answer it. What is true everywhere is that in an evacuation somebody has to know who came in.
