What this sheet is for

Make an escorted visit something you can check afterwards, by naming the person responsible for the visitor at every point of the visit rather than only at the door.

Who it is for

Reception and security staff at premises with areas visitors are not left alone in — labs, plant rooms, data halls, schools, care settings and secure stores.

How to use it

  1. Sign the visitor in and issue a badge as you would for any other visitor.
  2. Write the name of the escort taking them in, not just their department.
  3. Fill in the handover column the moment one escort passes the visitor to another.
  4. Sign the visitor out only when an escort has walked them back to the door.
  5. Read down for blank escort cells at the end of the day and find out what happened.

What is on the sheet

One page, top to bottom:

Printed under the title: Visitors who are not left on their own — who came in, which area they were taken to, who walked with them, and who the escort was handed on to.

The gap between escorts is the risk. The column that matters is the handover. An escorted visit fails in the gap between one escort going to lunch and the next one arriving, and that gap is invisible unless somebody writes a name in it. A line with no escort against it is a visitor nobody is watching. Which areas need an escort at all is yours to decide.

Questions

Why is there a second escort column?

Because escorted visits usually break at a handover — a shift change, a break, a meeting that overran. Leaving one box for one name hides that entirely. Two columns make it obvious whether the visitor was passed on properly or simply left somewhere.

Which areas need an escort?

Yours to decide, and it depends on the building, the work going on and the rules where you are. This sheet records the escorting you have decided to do; it does not tell you where to do it.
