Vehicle Pre-Delivery Inspection Sheet

Who this is for

The last look over a vehicle before it goes out to a customer. Six short lists cover the body, the interior, the underbonnet checks, the wheels, the electrics and the road test, and anything that is not right goes on the rectification table at the top.

Small dealers, independent sales pitches, workshops preparing vehicles for sale and fleet or lease operators who hand a vehicle over and want the condition on the day agreed in writing.

What this helps you track

• Exactly what was checked before the vehicle left, and by whom
• Anything found during preparation and whether it was put right before handover
• What went with the vehicle — keys, handbook, locking nut key, cables, mats
• A signed record of the condition both sides agreed on at the point of handover

How to use it

1. Fill in the vehicle, the stock or order reference, the customer and the technician.
2. Work through the six lists on the vehicle itself rather than from memory of the last one.
3. Put anything that is not right on the rectification table, with who is doing it and when.
4. Tick the done column only once the work has been carried out and looked at again.
5. Go through the handover pack list with the customer standing at the vehicle.
6. Both sign the sheet, give the customer a copy and keep yours with the sale file.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. Questions

Is this a roadworthiness or safety test?

No. Whatever test or certificate a vehicle needs before sale is set where you are, and is separate work. This sheet records the preparation checks you carry out and the condition agreed at handover.

Can I use it for a used vehicle as well as a new one?

Yes. Used stock is where it earns the most, because the rectification table gives a written history of what preparation found and what was done about it.

Why is there no mileage or fuel figure printed on it?

There is a field for the odometer reading and a line for fuel or charge level on the handover list, but the figures are yours. Nothing is prefilled that we would have to invent.

What if the customer disputes damage afterwards?

A sheet signed by both parties on the day, with the marks noted at the time, is the record you would want. Many people photograph the vehicle at handover and write the photo reference in the notes.
