Fill it in online

The same sheet, on screen. Totals and figures are worked out as you type, rows can be added or removed, and you can print it or download the completed version as a PDF. Everything stays in your browser — your entries are kept in this browser's own storage on this device, nothing is uploaded, and there is no account.

Who this is for

The sheet that takes a vehicle in and hands it back. The registration and the package go at the top, the condition of each area is written down before work starts and again at handover, and the extras and labour total against the package price.

Mobile valeters, detailing studios and vehicle preparation bays, and dealers who send cars out for preparation and want the condition recorded at both ends.

What this helps you track

  • The vehicle by make, model, colour and registration, with the mileage on arrival
  • The package booked and its price, agreed before the work starts
  • Condition of each area before and after, in writing rather than in dispute
  • Extras added on the day, each priced on its own line
  • The total for the job, built from the package, the extras and any extra labour

How to use it

  1. Fill in the job number, date, customer and contact, and identify the vehicle by make, model, colour and registration.
  2. Write the package booked and the price agreed for it. No package, price or product is supplied here — they are yours.
  3. Before you touch the vehicle, walk round it with the customer and write the condition of each area in the Before column. Note any existing damage plainly.
  4. Add any extra work agreed on the day to the extras table with your price, and record the time if you charge for labour separately.
  5. Fill in the After column at handover, run through the handover checks, read the total and have the customer sign the sheet.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser
  • Excel / Google Sheets workbook

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The workbook uses plain formulas only — SUM, IF, COUNTIF and the like — so it opens in Excel, LibreOffice and Google Sheets without anything breaking, and every calculated cell is grey so you can see which figures it worked out.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

Why record the condition before starting?

Because a stone chip or a scuffed alloy noticed at handover will otherwise be blamed on you. A written before-and-after line, agreed with the customer at the start, settles it in seconds.

Where do the packages come from?

You. The sheet has a field for the package name and a field for its price, so it works whatever you call your packages and whatever you charge; no package definitions or prices are built in.

Do I need the labour table as well?

Only if you charge time on top of a package — heavy contamination, pet hair, a restoration that runs over. Leave it blank on a straightforward package job and the total is the package plus the extras.

Can I use it for fleet or dealer preparation?

Yes. Put the fleet or stock number in the job number field, and the before and after columns become the preparation record the dealer wants alongside the pre-delivery inspection.
