A free printable petty cash sheet — date, description, money in, money out and a running balance, with a reconciliation block at the foot of the page.
One page. Choose your paper size — both versions are laid out identically, so neither one gets shrunk to fit.
Print it and write on it
Fill it in type and save
The fillable versions have real form fields — open them in any PDF reader, type into them and save. Printing help.
Keep a small cash float straight: every movement on one line, a running balance down the page, and a count at the end that either matches or does not.
Workshops, small businesses, site offices, clubs, committees, schools and anyone responsible for a cash tin somebody else pays into.
The layout is fixed at a size that fits both A4 and US Letter, so the A4 and Letter files are visually identical and print at full size on either. Rows are set at a height that an adult can actually write a date and a few words into with a pen — most printable tables are built in a word processor and never tested with one.
It is a record of cash movements and nothing more. How petty cash must be recorded, authorised and retained differs by country and by organisation, so this sheet does not attempt to tell you — check what applies to yours and keep the receipts with it.
For the gap between the closing balance on paper and the cash actually counted. Writing a difference down, even a small one, is the whole point of reconciling — a sheet that never shows one usually means nobody is counting.
One period, whatever a period means to you — a week, a month, or until the sheet is full. Reconcile and start a new one rather than continuing a balance across a gap.
Remember who did what, what it cost, and who was worth calling back — and have a dated record if a dispute ever starts.
Keep one continuous record of everything that has been serviced, repaired or replaced, so the history of the building exists in one place rather than in a drawer of loose invoices.
Turn a failure into a claim instead of a bill, by knowing what is still covered before you call someone out.
We are building this library out steadily. Leave an address and we will send the new sheets as they are finished — nothing else, and no more than one email a week.
Sign-up is not live yet — we have not connected an email provider, so this form is switched off rather than quietly collecting addresses.
